1. Who we are
Philly Ponniah Ltd (“we”, “us”, “our”) is a financial coaching business registered in England and Wales, with its registered office at 124 City Road, London EC1V 2NX. We provide financial coaching and education services to individual clients.
For the purposes of UK GDPR and the Data Protection Act 2018, we are the data controller for the personal information we collect about you. 2. What information we collect
When you engage with us as a client, prospective client, or website visitor, we may collect:
- Contact details such as your name, email address, phone number, and address
- Financial information you share with us during coaching, including income, expenditure, savings, debts, goals, and any documents you choose to send us
- Communications between us, including emails, WhatsApp messages, and notes from our coaching sessions
- Payment information, processed securely by our payment provider (we do not store full card details ourselves)
3. How we use your information and our lawful basis
We use your information to:
- Deliver coaching services to you, on the basis of our contract with you
- Communicate with you about your coaching, including scheduling, follow-ups, and resources, on the basis of our contract with you
- Process payments and maintain financial records, on the basis of legal obligation and legitimate interests
- Send marketing emails, only where you have given consent, which you can withdraw at any time
- Improve our website and services, on the basis of legitimate interests
- Comply with legal, tax, and regulatory obligations
4. How we share your information
We do not sell your information. We share it only with trusted service providers who help us run our business, including:
- Stripe and Thrivecart for payment processing
- Google Workspace for email, document storage, and client file sharing
- Calendly for session scheduling
- Our accountant and professional advisers where necessary
These providers process your information on our behalf and are bound by their own data protection obligations. Some of them, including Google and Stripe, may transfer data outside the UK, in which case appropriate safeguards such as the UK International Data Transfer Agreement or equivalent mechanisms are in place.
We may also disclose information where required by law, regulation, or court order.
5. How long we keep your information
We retain your information only for as long as necessary for the purposes for which it was collected, including legal, tax, and accounting requirements. In practice, this means:
- Active client records are kept for the duration of our engagement and for six years after our last interaction, in line with HMRC requirements
- Marketing contacts are kept until you unsubscribe or ask us to delete your information
6. Your rights
Under UK GDPR, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of your information, subject to legal retention requirements
- Object to or restrict our processing of your information
- Request a copy of your information in a portable format
- Withdraw consent at any time where consent is the basis of processing
- Lodge a complaint with the Information Commissioner’s Office at ico.org.uk

7. Cookies
Our website does not use analytics or tracking cookies. Some essential cookies may be set by tools embedded in our site, such as our booking platform, in order for those tools to function. You can control or block cookies through your browser settings.

We take appropriate technical and organisational measures to protect your information, including secure storage, restricted access, and encrypted communication where possible. However, no system is completely secure, and you share information with us at your own risk.
9. Children
Our services are not directed at children under 18, and we do not knowingly collect information from anyone under 18.
